Position Summary

The Chief of Staff serves as the strategic right hand to the CEO & COO, ensuring that organizational priorities are executed efficiently and effectively across all departments. This role acts as the bridge between vision and execution, helping align teams, drive accountability, remove obstacles, and ensure that key initiatives move forward on schedule.

The Chief of Staff does not directly manage the day-to-day operations of every department but instead works across the organization to ensure alignment, communication, and execution of the ministry's highest priorities. This individual must be highly organized, proactive, solutions-oriented, and capable of operating with discretion and excellence in a fast-paced ministry environment.

Key Responsibilities

Executive Partnership

  • Serve as a trusted advisor to the CEO & COO.
  • Help prioritize organizational initiatives and strategic objectives.
  • Prepare briefing materials, reports, and recommendations for executive decision-making.
  • Attend leadership meetings and represent executive priorities across departments.
  • Ensure leadership decisions are clearly communicated and executed.

Strategic Initiative Management

  • Drive execution of key ministry initiatives and special projects.
  • Monitor progress against strategic goals and organizational priorities.
  • Coordinate cross-functional efforts between Ministry, Production, Marketing, Sales, Ecommerce, Donors/Fundraising, Technology, and Events.
  • Identify risks, bottlenecks, and opportunities for improvement.
  • Ensure major initiatives remain on schedule and within scope.

Leadership Accountability

  • Track action items from leadership meetings.
  • Hold department leaders accountable for agreed-upon deliverables and deadlines.
  • Establish and maintain organizational scorecards and KPI reporting.
  • Provide regular status updates to executive leadership.
  • Follow up to ensure commitments are completed.

Organizational Communication

  • Facilitate communication between departments and executive leadership.
  • Ensure priorities are clearly understood throughout the organization.
  • Assist in preparing internal communications, reports, and presentations.
  • Help foster alignment around the ministry's mission and objectives.

Special Projects

  • Lead high-priority projects.
  • Conduct research and provide recommendations on organizational opportunities.
  • Support event planning, partnerships, sponsorship initiatives, and ministry growth strategies as needed.
  • Manage confidential and sensitive projects with professionalism and discretion.

Qualifications

Required

  • 5+ years of leadership, operations, project management, or executive support experience.
  • Exceptional organizational and project management skills.
  • Strong written and verbal communication abilities.
  • Proven ability to manage multiple priorities simultaneously.
  • Ability to influence and drive results without direct authority.
  • Strong analytical and problem-solving skills.
  • High level of professionalism, integrity, and discretion.

Preferred

  • Experience in ministry, media, broadcasting, nonprofit, or mission-driven organizations.
  • Experience supporting C-suite executives or founders.
  • Familiarity with project management systems, KPI reporting, and organizational planning.
  • Strong understanding of strategic planning and organizational development.
